Privacy & browser storage

Who is responsible

Bear Country Ltd, company number 17486679. Registered office and company contact address: Office C, Hamble Lane, Hamble, Southampton, England, SO31 4QJ. Email: sales@bearcountry.co.uk. Telephone: 07935072389.

Bear Country Ltd is responsible for the personal information used to run this workwear/print platform. Contact sales@bearcountry.co.uk for privacy questions or requests. Where a trade partner provides an end customer's information, the parties' responsibilities must be agreed for that service; we do not assume every partner arrangement has the same role.

What we use and why

Accounts: name, email, phone, company details, account membership and sign-in information to provide your account and protect access. Orders: garment, size, colour, quantity, price, billing/delivery addresses and payment status to take, fulfil and support your contract. Artwork: logos, uploaded files, previews, versions, proofs and approval records to prepare and produce your agreed print. Contract performance, including steps you request before ordering, is the basis for these uses.

We use order, accounting and relevant correspondence records to comply with legal obligations. We use necessary security, access and error records and relevant dispute records for our legitimate interests in protecting the service, preventing misuse and establishing or defending claims, balanced against your rights.

Optional marketing and behavioural personalisation require a separate choice. Buying something, creating an account or uploading artwork does not give marketing consent. You can withdraw optional permissions in Bear Country Club → How we keep in touch, or contact us. Necessary order/proof records are not optional behavioural tracking.

Services and recipients

Lovable Cloud provides the platform's database, accounts and file storage, using its managed database/authentication infrastructure. Shopify receives the order and customer details needed for its checkout/payment and fulfilment records and returns payment status to us. We store payment status and order references, not your full payment card details; card handling is through Shopify's checkout/payment providers.

Royal Mail receives the recipient/contact and parcel details necessary for manual Click & Drop dispatch. Our connected Royal Mail check can also read dispatch records. Supplier catalogue/stock lookups use Ralawise; the current stock lookup does not send customer details. Where a supplier needs information to fulfil a specific order, only what is necessary may be shared.

Authorised staff and professional advisers may access information needed for production, support, accounts or legal obligations. Company account members can see shared company material according to their role; take care when adding colleagues.

If you choose AI background removal for a logo preview, the image is sent through Lovable AI to its image processing service; the original remains the production artwork. This feature is not needed to place a plain garment order. Administrator-only Biggie voice sessions use ElevenLabs; administrator-invoked assistant features use Lovable AI services. These are not ordinary customer checkout services. Revolut scaffolding is not an active customer payment processor. We do not represent dormant Tradeprint, campaigns or freight services as active customer integrations.

International processing and security

Online hosting and checkout providers can process information in countries other than the UK. Where an overseas transfer is restricted by UK data protection law, we must establish the applicable adequacy decision or appropriate contractual safeguard before that transfer. Contact us for the arrangements relevant to your information.

Accounts and shared artwork use access controls; signed private artwork links expire. Do not share private links or put unnecessary sensitive personal information into artwork or order notes. No service can promise absolute security.

Retention

We keep information for the purposes described: account access and requested saved designs/artwork, fulfilment and support, legal record-keeping, and relevant claims. We assess whether it remains necessary and respond to deletion requests subject to lawful record-keeping needs. We do not promise an invented fixed retention period.

Current order/proof records and saved files do not automatically expire. Deletion and retention decisions are reviewed manually. A signed link expiring does not delete the underlying file. Ask us to review information you no longer need retained.

Browser storage and choices

Sign-in storage, your saved basket, pending checkout reference and sign-in return path keep the service working. Garment view and side-panel preferences remember your choices. The optional crew tool stores the names and kit links you enter locally on this device; you can clear that data below without deleting basket items.

The inspected app has no advertising pixel or app-added analytics cookie. This is not a claim that Shopify checkout or hosting providers use no cookies: their services and notices apply at those boundaries. The editor preview also has platform diagnostics. Optional first-party behavioural events are refused unless a signed-in user has explicitly enabled behavioural tracking; unknown or absent permission is treated as off.

Manage marketing and behavioural choices in Bear Country Club → How we keep in touch. You can remove browser storage through your browser settings; removing sign-in/basket storage can sign you out or lose locally saved choices. We have not added a consent banner for tracking that the app does not enable by default.

Your rights and complaints

Depending on the circumstances, you can request access, correction, erasure, restriction, portability, or object to processing, including legitimate-interest processing. You can withdraw consent without affecting earlier lawful processing. We may need proportionate identity checks and explain any lawful reason records must be retained. We do not use solely automated decisions with legal or similarly significant effects in this order workflow.

Contact sales@bearcountry.co.uk. You can also complain to the Information Commissioner's Office: https://ico.org.uk/make-a-complaint/ or telephone 0303 123 1113.
